Expenses qualify when they are common in the industry and helpful for the business, though mixed-use items require documented allocation of the business portion only. The IRS distinguishes deductions, which reduce taxable income, from credits, which reduce tax owed directly. Owners should track receipts and separate business accounts to support claims.

Always Deductible Operating Costs

Many routine expenses qualify fully when tied directly to business operations. These include advertising through SEO or print materials, bank and merchant fees, software subscriptions, contract labor payments, insurance premiums, office rent, repairs, supplies, postage, utilities, and employee wages plus benefits. Separate business bank accounts prevent commingling that complicates tracking.

Travel deductions cover airfare, lodging, and transportation when a clear business purpose exists, supported by agendas or meeting records.

Available Business Credits

Credits provide direct reductions in tax liability. Eligible items include the Work Opportunity Tax Credit for hiring from targeted groups, the credit for small employer pension plan startup costs up to $5,000, the fuel tax credit, and credits for energy-efficient commercial buildings or qualified research expenses. The rehabilitation credit applies to historic building work, while builders of energy-efficient homes may claim up to $5,000 per home. Opportunity Zone investments allow deferral of gains.

Accurate records include mileage logs, receipts, and allocation worksheets for mixed-use items.
